Copilot is Microsoft’s AI assistant built directly into the tools your team already lives in like Outlook, Teams, Word, Excel, and Edge. When planning your Microsoft Copilot rollout, it can summarize long email threads, draft responses, organize meeting notes, build reports, and pull insights from your company data.
The key difference is that it works inside your Microsoft 365 environment and respects existing user permissions. It is AI that understands your business context and stays within your guardrails.
Public AI tools are powerful and easy to access. If your team does not have an approved option, they will likely turn to whatever is available.
That can mean copying internal emails, financials, or client data into public chatbots. Not because they are reckless, but because they are trying to move faster.
The better strategy is to give them a secure, governed solution and clear expectations for how to use it.
AI without structure can quickly turn into enterprise risk. This session covers how to:
Good governance does not block productivity. It makes sustainable productivity possible.
Here is the simple math.
If an employee costs 50 dollars per hour and Copilot saves even one hour per day, that is more than 1,000 dollars in monthly value from a 30 dollar investment. Even 15 minutes per day adds up fast.
The smart approach:
Turning on licenses without preparation can create security gaps or failed adoption. A better sequence looks like this:
Rolling it out the right way helps avoid wasted spend, frustrated employees, and unnecessary risk.
AI adoption is already happening. The question is whether it’s happening with structure and governance.

0:00Hi everybody, I’m Nabil.
0:02I’m a fractional CIO here at Dataprise.
0:04Today I want to talk about AI adoption in the workplace, in particular Microsoft Copilot, and how to roll that out safely and securely.
0:10If you’re like myself and my colleagues, things are moving way too fast with AI.
0:14We love AI, but it moves too fast and there’s a lot of noise.
0:18We’re here to help you filter through the noise and do this at your own pace.
0:24I’m joined today by Damian Ringgold.
0:27He’ll set the stage on what Copilot is and how it fits into your current existing Microsoft environment.
0:33Then Saurabh Chopra who’ll focus on governance and accidental data leakage.
0:38After that, we’ll bring in Tad Doyle, who’ll walk us through the cost benefit and ROI of Copilot.
0:45Batting cleanup, we’ve got Tara Bartels.
0:47Tara’s the manager of advisory services.
0:49She’ll cover the practical rollout, sequence readiness, governing, training, and piloting.
0:54Today’s session is about balancing AI productivity along with governance and security.
0:59How to keep AI inside your boundaries, how to avoid shadow tools, and how to make sure that $30.00 a month per user actually turns into real value.
1:08With that, let’s jump right in.
1:10Damian, introduce yourself and tell us what Copilot is.
1:14Hi, I’m Damian Ringgold and I’ve been with Dataprise for six years.
1:18And to answer your question about Copilot, ChatGPT, and AI in the workplace, let’s break that down clearly.
1:25What is Microsoft Copilot?
1:28Copilot is Microsoft’s AI assistant that lives inside your existing workflows.
1:33It’s embedded directly into the tools your team already uses, everyday tools such as Outlook, Teams, Word, Excel, and Edge.
1:42It can summarize long email threads in seconds, draft responses, organize notes for meetings, answer questions using your company data, build reports in Excel, or create content.
1:54Think of it as a permission aware, enterprise grade AI assistant that operates inside your Microsoft environment.
2:01What is ChatGPT or Claude and are they the same thing?
2:05They’re different tools, not direct competitors.
2:08ChatGPT and Claude are general purpose AI chatbots.
2:11They’re powerful, flexible, and great for brainstorming, research, and drafting content.
2:17Copilot’s a little different.
2:19Copilot is enterprise integrated.
2:22It’s tied to your Microsoft 365 tenant.
2:25It respects user permissions.
2:27It only accesses data that you already have rights to.
2:30If licensed properly, it connects securely to your company data and stays inside your governance framework.
2:37ChatGPT and Claude operate in public or standalone environments unless you’ve implemented enterprise controls.
2:44Now here’s the important part.
2:46If your employees don’t have Copilot, they will still use AI.
2:51The difference is whether they use it inside your security boundaries or outside of them.
2:55Because AI adoption is not optional anymore.
2:59Your employees are already experimenting with AI to save time and work faster.
3:03If you don’t provide a governed, enterprise supported option, they’ll paste internal emails, client information, financial data, intellectual property, and more into public AI tools.
3:15Not because they’re careless, but because they’re trying to be productive.
3:19Banning AI doesn’t stop the usage, it just drives it underground.
3:25The safest strategy is to embrace AI on your terms.
3:28Provide a secure, permission aware tool.
3:30Establish governance.
3:34Define acceptable use.
3:37Enable productivity without sacrificing control.
3:43Thanks Damian for decoding what Copilot is for us.
3:50Now that we know what this thing can do, we should probably make sure it doesn’t fly off with our data.
3:54So let’s hand this over to you and talk about AI governance and how to keep this plane on a secure runway.
3:59Hey folks, my name is Saurabh Chopra.
4:02I’ve been with Dataprise as a fractional CIO for the last decade or so.
4:06Gosh, that feels like a long time now.
4:09Fun fact, I tried explaining AI to my daughter yesterday and she asked if the vacuum was going to take over the world.
4:15And now we have a robot vacuum with trust issues.
4:19When it comes to AI, one of the things I like to focus on is governance.
4:24What does that mean in simple terms? The rules that help prevent accidental data leakage.
4:33Think about any sensitive information you want safeguarded.
4:40Without rules, AI adoption becomes an enterprise risk instead of a competitive advantage.
4:53What does safe usage look like?
5:00You need to define eligible users and establish guardrails.
5:10Guardrails mean controlling who can access sensitive information.
5:22If someone asks Copilot for their manager’s salary and they shouldn’t have access to that information, the system should not provide it.
5:47Shadow IT is a big concern.
5:49Employees should only use approved tools.
6:16Keep humans in the loop.
6:19Continuously monitor and measure risk exposure.
6:25Strengthen controls like multi factor authentication and location based access.
6:52Governance is your seatbelt.
7:06You do not want to test the airbags.
7:12Hello, I’m Tad Doyle, one of the fractional CIOs here at Dataprise.
7:29Is $30 a month worth it?
7:39If an employee costs around $50 an hour and Copilot saves just one hour a day, that’s over $1,000 a month in value from a $30 investment.
8:10Maybe not everyone needs a license at first.
8:13Start with 5 to 10 highly leveraged roles.
8:25Track 30 days of output and measure impact.
9:16So $30 a month to potentially save $1,000 in value.
9:30Tara Bartels, manager of advisory services at Dataprise, walks through rollout strategy.
9:50It’s tempting to just buy licenses and dive in.
10:01But AI is not something you casually test without preparation.
10:27You need governance, risk assessment, and identity reviews first.
11:33Many organizations already have data access gaps they are unaware of.
12:03The correct sequence is:
13:21Buying Copilot without training is like buying a Peloton bike and using it as a coat rack.
13:35That’s all we’ve got for today.
