The wireless activation department within a large, international retailer needed assistance implementing a 24x7 monitoring and alert response strategy for their proprietary e-commerce platform. This single, unified platform integrates all operational phases of selling and activation of their wireless services and devices, and serves as the backbone of the company’s operations.

Concerns existed regarding the overall performance, including unwanted performance degradation. They sought a partner to monitor their system 24x7, as well as track and report all incoming alerts. More critically, they needed remediation process management. Monitoring this platform would be crucial to the company’s continued success as they prepared to further expand their e-commerce operations.

Dataprise was able to get up to speed very quickly. Within three weeks, we fully adapted our Network Operations Center (NOC) to fit their requirements with all of the necessary tools and protocols.

Within a month, our NOC was providing live monitoring and alert response, day and night. In the event of a network alert, our team began immediately with the remediation process, coordinating and tracking all parties, managing and providing efficient resolutions, and delivering detailed reports. Ultimately, this helped our client identify opportunities to improve response efficiency, conduct a root cause analysis, and minimize future system downtime.

As a result of our diligent and effective approach to system monitoring, the client has dramatically reduced downtime on its e-commerce system and addresses operational issues before they affect mission-critical services. With a now stable network, they have been able to expand their e-commerce operations.

With employees scattered all along the East Coast and over 30 different properties, the property management company needed a way to keep documents in one, easy to access location to improve version control and efficiency. This centralized file storage system would be accessed by all employees across multiple states. Additionally, this new system needed to be easy to use for employees with varying degrees of technical knowledge. Files were being stored in different formats and locations.

Under the direction of our project manager, and with assistance from subject matter experts, our Web Solutions team developed and executed a multi-phase project comprised of discovery and implementation.

Starting with a Discovery phase, we reviewed their existing processes and file systems. We identified and located multiple documents being stored in various locations, including file systems, emails, user’s personal machines, and even external storage sites (e.g., Dropbox).

Upon completion of this phase, we delivered a site structure diagram for a SharePoint site where our client could manage and maintain all files, and where only one true copy of each file could exist.

During the Implementation phase, we built a custom SharePoint site that utilized Microsoft Office 365 and provided a centralized system from which all employees could easily work. This site also has the capability for employees to tag and find necessary documents in real-time.

To ensure all employees were able to use this new site to its full capacity, we provided administrators and users with training, as well as initial support to get them up and running.

With a SharePoint site now being utilized by employees at all of their locations and by multiple departments, our client has been able to dramatically reduce their network infrastructure footprint. They continue to move their documents to their new home in the cloud.

Furthermore, with Dataprise’s additional efforts to develop several new templates for storing interview notes and establishing a taxonomy for file classification, employees are able to make more accurate decisions in real-time

Having a web-based solution that makes it easy to store, tag, and manage documents across all departments and properties, our client has been able to increase productivity across the board.

Powerful IT Upgrade

A law firm in Washington, DC was taking on a growing number of document-intensive cases. The firm needed a robust document management solution to organize and archive critical documents for client cases, and wanted to determine whether their existing network infrastructure would support the new application.

Additionally, most of their hardware was out of warranty, the network had insufficient bandwidth and storage capacity, and servers were running operating systems no longer supported by the manufacturer.

Dataprise conducted an assessment of the network and determined that the existing infrastructure was not adequate to support such a modern document management system. We designed a network upgrade plan based on the firm’s primary objectives – build a new IT infrastructure powerful enough to support the latest document management systems, while providing the necessary data security demanded by legal regulations. Using a combination of virtual server technology and Dataprise cloud-based services, we were able to provide a comprehensive solution that would support the firm’s changing IT needs – not just for the short term, but for many years to come.

Here is a quick synopsis of technologies used:

  • Server Virtualization provided a newer, flexible server infrastructure that allowed them to add, remove, and customize servers as needed

  • A Storage Area Network (SAN) provided scalable storage to support the virtual servers and more robust capacity for the growing document library 

  • Dataprise provides Office 365’s powerful email and collaboration services, as well as secure email archiving to comply with their email retention requirements 

The new network design and subsequent overhaul enhanced their operational productivity by creating a highly adaptable (and now reliable) foundation to work on. The virtual servers provided the ideal framework for supporting the latest document management systems; dramatically improving service capabilities for the internal staff, and in turn – their staff are now able to provide drastically improved service to their clients.
